Whiteboards for hybrid meeting rooms: five decisions before you order

A practical planning guide to choosing a writing surface that fits the room, the camera view and the people responsible for installation and care.

Start with the meeting, not the finish

A whiteboard can look right in a rendering and still leave important questions unanswered. Will people write while others join remotely? Does the team need to keep several ideas visible at once? Will the surface stay in one room or move between settings? Define those activities before choosing a color or frame.

The following questions are our planning suggestions, informed by the Calyx by Claridge resources linked below and checked October 25, 2026. This is a specification guide, not a new-product announcement or a test of any particular board.

1. Decide what needs to be visible

Sketch the intended writing area beside the furniture plan. Identify the seats that need a view, the presenter's position and any display competing for the same wall. For a hybrid meeting, distinguish what people in the room must see from what the remote audience will receive through a camera or another capture method.

Before approving a layout, ask the team to demonstrate its proposed way of sharing handwritten work. A room photograph alone cannot settle whether the meeting workflow will be usable.

2. Compare writing surfaces using the intended application

Calyx's glass-and-porcelain comparison guide provides a starting point for discussing surface appearance, customization and writing characteristics. Use it to frame a conversation about the exact product rather than treating every glassboard or porcelain board as interchangeable.

Where visibility on camera matters, request a demonstration or suitable sample review using representative lighting, markers and camera positions. Ask what can be checked before purchase and record anything that still needs confirmation. These are proposed evaluation steps, not a guarantee of camera performance.

3. Resolve mounting and wall coordination early

Calyx's resource library separates product guides from installation documents and lists different glassboard mounting approaches. Obtain the instructions for the actual model and mounting selection. Have the installer and appropriate building professionals confirm the wall conditions and required preparation.

Put the board's location and dimensions on the coordinated drawing alongside nearby equipment and controls. Ask who approves that drawing, who provides installation and when the wall must be ready. Avoid leaving those responsibilities implicit in a furniture quotation.

4. Give maintenance a product-specific handoff

The manufacturer's glass care sheet recommends soft cleaning cloths and cautions against abrasive cleaners. Its resource library provides separate care documents for other surfaces. Send the applicable instructions to the people who will maintain the selected board rather than passing along a generic cleaning assumption.

Ask who replenishes markers and erasers, where those items are stored and how users report a maintenance issue. Small operational decisions belong in the handoff as well as the hardware list.

5. Turn the selection into a complete enquiry

Bring the model or surface preference, approximate dimensions, room plan, mounting questions and desired schedule into the pricing discussion. Identify which details are approved and which remain open. Ask for confirmation of current options and availability before building a procurement decision around a presentation image.
