Furniture Representative vs. Dealer: Who Helps with Your Project?
A manufacturer representative helps you understand the represented furniture portfolio and connect with factory resources. A dealer usually develops the purchase proposal and coordinates ordering and fulfillment. Here is how those roles work together on a commercial project.
The short answer
A contract furniture manufacturer representative connects project teams with the manufacturers they represent, product knowledge and factory resources. A furniture dealer usually develops the commercial proposal and coordinates ordering and fulfillment. Exact responsibilities vary by manufacturer, dealer and project, so confirm who owns pricing, purchase orders, freight, installation and service before placing an order.
Edgewater Contract is an independent manufacturer representative group serving dealers, architects, interior designers and commercial end users. Our regional focus includes Southern California, Las Vegas, Hawaii and Arizona, with territories varying by manufacturer. Our role is to help project teams navigate the represented portfolio and connect the product details.
When to contact the manufacturer representative
Start with a representative when you need to explore manufacturers, compare product families, discuss configurations or identify the right factory resource. A conversation can cover finish options, specification questions, sample requests, current product information and a showroom or product presentation.
For Edgewater projects, share the project location at the beginning. Representation is specific to the manufacturer and territory; a product shown in our inspiration gallery is not a blanket statement that every line is represented in every market. Our Partners page and regional line cards provide starting points, and our team can confirm the current fit.
When to involve the furniture dealer
Bring the dealer into the discussion early when a project needs a coordinated purchasing proposal, order management or delivery and installation planning. Ask the dealer to spell out which services are included, who performs them and which charges or approvals sit outside the product price.
A representative and dealer can work together with the designer and purchaser. Avoid assuming that one contact automatically owns the full project: assign responsibility for final specifications, site measurements, finish approvals, purchase-order accuracy, freight, installation, punch-list work and warranty communication.
What to send with your first enquiry
Include the project city and state, type of space, approximate quantities, target installation date and budget or scope. Add plans, photographs or reference images when available. Note access constraints, existing furniture that must be retained and any purchasing program your organization intends to use.
If a product catches your eye in the Edgewater Inspiration Gallery, save it to your inspiration board. On Help Me Find a Solution, review the board, add project details and use Print / Save Board as PDF when a visual copy will help the conversation. Opening the project email prepares a draft for you to review and send; it does not itself submit a purchase order or reserve stock.
Questions to settle before specifying or ordering
Confirm the manufacturer, model, dimensions, finishes, intended use and configuration shown. Environment photographs can contain multiple products and custom details. Ask for current product documentation and verify the exact item being quoted rather than relying on a photograph alone.
Verify current lead time, freight assumptions, delivery access, installation scope, purchasing eligibility and the party responsible for after-sales support. For healthcare, outdoor and technical environments, bring the project-specific performance and maintenance requirements into the discussion before a product is selected.
